“That one person I have now has been able to assign as an academic advising specialist for one of our programs, and take a hundred students off somebody else’s caseload. I could not have done that last year.”
Lydia Maynard, Executive Director of the Academic Center for Excellence, Shenandoah University

The challenge

A two-week wait, and one person holding it.

Shenandoah’s course equivalencies lived in a spreadsheet and in Colleague, hard to maintain and harder to change. Evaluating a transcript meant reading it line by line.

One staff member covered enrolled students, deposited students and prospects, so a prospective student waited about two weeks, and a single advisor was carrying 450 advisees.

The solution

Rules that apply themselves.

Shenandoah moved its equivalencies into DegreeSight Inbound and grouped its feeder schools, so a rule built for one Virginia community college now applies across the whole system.

Matched coursework returns a decision immediately, on a student’s phone, at any hour. A Slate integration captures every DegreeSight user who applies.

10–15hours a week freed from line-by-line transcript review

The results

From lead to committed.

45 submissions, 14 applied for Fall and Spring, and 5 committed for Fall.

Transfer groups: A rule built once for the Virginia Community College System applies to every school in the group. Shenandoah audited roughly 4,000 equivalencies over the summer and moved them in.
